Courier Packaging Guidelines
Everything you need to know to package your shipment safely and avoid damage in transit.
How you package your shipment directly affects whether it arrives safely. At ICExpress, we handle thousands of parcels every day — the most common cause of transit damage is inadequate packaging by the sender. Follow these guidelines to protect your goods and keep your shipping costs down.
Before You Ship
ICExpress and our carrier partners are not liable for damage caused by insufficient or improper packaging. We strongly recommend goods in transit insurance for valuable items. Proper packaging is a condition of our terms and conditions.
Step-by-Step Packing Guide
1. Choose the Right Box
- Use a new or sturdy corrugated cardboard box appropriate for the weight of your items.
- The box should allow at least 5cm of cushioning on all sides of the item.
- Avoid reusing old, dented or weakened boxes — they lose up to 50% of their original strength.
- For heavy items (over 15kg), use a double-walled corrugated box.
2. Wrap Items Individually
- Wrap each item separately in bubble wrap, foam sheeting or tissue paper.
- Pay extra attention to corners, edges and protruding parts.
- If shipping multiple items in one box, ensure they are separated so they cannot touch or rub against each other.
- Use cardboard dividers for items like bottles or jars.
3. Cushion and Fill Empty Space
- Fill all voids with cushioning material: bubble wrap, packing peanuts, crumpled kraft paper or air pillows.
- The item should not move when you shake the closed box gently.
- Avoid using newspaper alone — it compresses easily and offers limited protection.
- For heavy items, use high-density foam inserts or moulded polystyrene.
4. Seal the Box Securely
- Use strong plastic packing tape (at least 48mm wide) or reinforced carton tape.
- Apply tape along all seams — top, bottom and side flaps.
- Use the “H-taping” method: tape the centre seam and both edges on top and bottom.
- Do not use masking tape, cellophane tape or string — they fail under transit stress.
5. Label Clearly
- Write the waybill number directly on the box as a backup in case the label detaches.
- Include a copy of the delivery address inside the box as well as on the outside.
- Ensure sender and receiver phone numbers are included — this speeds up delivery.
- Attach labels flat on the largest surface of the box, not over edges or seams.
- Remove or cover any old shipping labels, barcodes or markings from previous shipments.
Fragile & High-Value Items
Items that are fragile, delicate or high in value require extra care. See our valuable and fragile deliveries service for specialised handling.
- Double-box method: Place the wrapped item in a smaller inner box, then place that box inside a larger outer box with cushioning between the two.
- Corner and edge protectors: Use foam corners or cardboard edge guards for framed items, screens and glass.
- Mark clearly: Label the outer box with FRAGILE and HANDLE WITH CARE on at least two sides.
- Insure it: We strongly recommend goods in transit insurance for items of value. Without insurance, goods travel at the owner’s risk.
Packaging for Specific Items
Bottles & Liquids
- Seal caps with cling film or tape
- Wrap each bottle in bubble wrap
- Use cardboard dividers between bottles
- Ship upright — mark “THIS SIDE UP”
- Place in a leak-proof bag inside the box
Electronics
- Use original manufacturer packaging if available
- Remove batteries and pack separately
- Use anti-static bubble wrap or foam
- Protect screens with cardboard sheets
- Lithium batteries have restrictions
Documents
- Use a rigid A4 envelope or document pouch
- Place in a plastic sleeve for moisture protection
- Do not fold important documents
- Avoid staples or clips that trigger security screening
Clothing & Textiles
- Fold neatly in a plastic bag for moisture protection
- Use a poly mailer or sturdy box
- No special cushioning unless items are embellished
Size & Weight Considerations
Courier charges are based on billable weight — the higher of actual weight or volumetric weight. Using an oversized box for a small item means you pay for the extra space.
Volumetric Weight Formula
Length (cm) × Width (cm) × Height (cm) ÷ 5000 = Volumetric Weight (kg)
- Choose the smallest box that safely fits your item plus cushioning to keep costs down.
- Do not strap multiple parcels together — send as separate shipments.
- For oversized or heavy items, consider our economy road freight service.
Prohibited & Restricted Items
Cannot Be Shipped by Courier
- Explosives, firearms and ammunition
- Flammable liquids, gases and aerosol cans
- Illegal substances and narcotics
- Currency, coins and negotiable instruments
- Live animals and perishable biological substances
- Loose lithium batteries (outside of devices)

Common Packaging Mistakes
Avoid These Errors
- Using a box that is too large — items shift in transit and you pay higher volumetric charges.
- Reusing a damaged box — crushed, damp or taped-over boxes are significantly weaker.
- Wrapping with only newspaper — it compresses under pressure and does not absorb shock.
- Taping only the centre seam — edges open under stress. Always H-tape.
- Leaving old labels on the box — causes sorting errors and misrouting.
- Not including contact numbers — delays delivery when the driver needs directions.
- Skipping insurance — without insurance, goods travel at the owner’s risk.
Your Packaging Checklist
- Sturdy, correct-sized box (new or in good condition)
- Each item individually wrapped in protective material
- All gaps filled with cushioning — no movement when shaken
- Box sealed with strong packing tape on all seams (H-tape method)
- Waybill number written directly on the box
- Delivery address included inside and outside the box
- Phone numbers for both sender and receiver
- Old labels, barcodes and markings removed or covered
- Fragile items marked on at least two sides of the box
- Insurance arranged for valuable shipments
